The Student Union platform is operated by InQA Limited, acting as Secretariat to the Student Union and to the International Qualified Actuaries Group Limited. 📊 Why We Collect Information
On this platform, if you do not login, we only collect information when you comment on posts or otherwise contact us (so that we can reply to you and respond to any business requests). We also collect information on site visits to record website statistics (see the Cookies section below).
When you register or login to the site, we collect the information that you provide on registration, or on completion of any other forms, for the purpose of efficiently providing and tailoring platform services to you. By completing the form, you agree that we may hold and process that information for that purpose.
The platform also records activity for auditing and error handling purposes.
👤 Pseudonymous Forum Participation
A unique feature of the Student Union platform is pseudonymous forum participation to protect user privacy:
- Forum Identity Separation: Your forum posts are linked only to your pseudonymous identity, never to your real name
- Identity Protection: Real names and identities are never disclosed in forum discussions
- Secure Linking: The connection between your real identity and pseudonymous identity is encrypted and accessible only to authorized administrators
- Privacy by Design: Forum features are designed to maintain anonymity while enabling meaningful discussion

The lawful bases for processing your personal information are:
- Where we need to perform a contract (where you use our products or services)
- Where it is necessary for our legitimate interests (and your interests and fundamental rights do not override those interests)
- Where you have provided your consent for us to contact you. We also ask users of this website to consent for us to track activity on this website via cookies.
🔐 Personal Information
We take the privacy and protections of personal information very seriously. By your use of this platform, you agree that in order to provide software and/or services for your benefit, we may store any information ("Data") that you enter into it (e.g. when you complete a contact form or participate in forums).

We retain your personal information for as long as necessary to fulfill the purposes for which it was collected, including:
- For active student members: Throughout the duration of your membership
- For former student members: Up to 7 years after membership cessation for legal and regulatory purposes
- For registered users who submit contact forms: Up to 2 years from last interaction
- For pseudonymous forum posts: Retained indefinitely as community knowledge base
- For website analytics data: Up to 26 months
You may request deletion of your personal information at any time by contacting students@inqa.com, subject to our legal obligations to retain certain records.
🚫 Disclosure of Personal Information
Except as otherwise stated in this Privacy Policy, we do not use or share your Personal Information with Third Parties, unless you ask or authorize us to do so. We will not sell or rent any of your Personal Information to Third Parties for their marketing purposes.

Cookies are small text files that are transferred to your computer through your web browser to enable our systems to recognize your browser, your personal preferences and login information. We are committed to working with you to obtain a fair resolution of any complaint or concern about privacy.
If you have a complaint then please contact students@inqa.com in the first instance and we hope to be able to assist with your complaint. If however, you believe that we have not been able to assist with your complaint or concern then you have the right to make a complaint to the data protection authority in the UK, which is the Information Commissioner.
